How Fax to Email Services Work.

Fax2Email is a technology which allows fax messages to be diverted to an email system. Sometimes this is often provided for free. Essentially when a fax is transmitted it is received by an email attachment, typically a PDF which can then be printed, stored or erased.

For the service to work it requires the receiver to have faxes to be transmitted to a telephone number exclusively allocated to them by the service provider. If the user already has a well established fax number to their customers then it is an uncomplicated case of putting a divert on their existing number. On the other hand, for users that do not have a well known fax number and are happy to promote the service providers allocated number it means that to gather faxes they can entirely do away with the fax machine and sometimes even the phone line that would have been needed.

Whilst fax to email equipment does not entirely eliminate the necessity for a fax machine to transmit faxes it definitely makes it less necessary for receiving them. So long as the user can receive email then they can receive their faxes, even out on the road if they use a blackberry device or laptop that enables the reading of PDFs.

Getting a fax as an attachment rather than a printed document means that the reciever is allowed to see the fax first and decide whether or not they wish to print it. As lots more fax spam transmitted then this technology can quickly begin to save money as the user is no longer required to use up pricey ink cartridges just to have the pleasure in receiving a deeply coloured piece of spam. Instead the spam can be seen as a PDF and deleted.

For many in financial services fax to email can also be seen as a very safe way of receiving classified documents. Documents lying on a fax device could be looked at by anybody, misplaced, damaged or simply not printed out correctly in the first place. By picking up faxes as an email it means that clients particulars and documents can be deposited electronically.

The benefits of using a fax2email technology are 2-fold. Firstly it is a very cost efficient way of gathering faxes as it eliminates the need for a fax machine, modem, phoneline and also elimates the costs associated with printing off documents. Secondly it is a far more convenient way of receiving data as it permits users to electronically store documents.
