Planning Your Office Festive Event

It might seem ludicrously early to even begin thinking about celebrating Christmas but if you want your corporation to have a event to remember it is worth making that extra effort and hopefully everyone will thank you for it!

Decide on a budget
Find out from the outset what your budget will be because your guests depends on it. There's no use making big, elaborate arrangement if there just is not the money there but don't worry if the budget does not match your expectations it will not have any bearing on how much fun you can have. As long as everyone understands from the outset, there shouldn't be any horrible surprises in store for managers or employees.

Who's Who
You'll have to know exceedingly early on who will be invited to this year's Christmas gathering. Is it purely for team members or will clients or suppliers be on the guest list too? don't just assume it may possibly be the same as the last year. Budget constraints may mean clients are not invited this year, or maybe your corporation is asking spouses of team members along for a change. If the corporation is split across a number sites and departments then you'll have to know if you're organising one big gathering or a smaller, more intimate get together.

Name the day
Be realistic when deciding on a date. Whichever date you decide upon there will always be someone who can't attend. Don't attempt and please everyone, just reserve early and ensure everyone knows well ahead and if you have refusals don't take it to heart. If you wish to maximise your company's attendance then sending out a employees email with a mix of dates to choose from might be in order, but even then you will inevitably end up excluding someone. Depending on how busy your office gets at this festive time you may decide to have your guests slightly earlier than most, and there is an increasing trend to wait until January when diaries are less full and costs are less!

Booking a venue
Location is key here. Once you know a date and roughly how many people will be on the guest list it is time to begin thinking about your venue. Once you have decided on the type of venue, whether it be a hotel, country club, pub, stately home or restaurant, the most fundamental factor for contemplation is the destination. It makes sense to have the gathering comparatively close to the office so everyone is familiar with transport links. However glitzy the place, employees are unlikely to wish to make the trip to a different city or part of London with no means of getting home. If you ought to do it, then contemplate organising transport to a renowned place, for example a main train station or tube stop.
